Disclosure Code Information

Remember, you must register for the meetings to gain access to the negotiated hotel rates.

Job Candidates sometimes have difficulty locating interviewers at the ASSA meetings. Interviewers do not know their room numbers prior to check-in and thus cannot tell candidates in advance. For security reasons, hotels do not provide room numbers of individuals. Thus, job candidates have to call the person interviewing them, often interrupting an interview in progress.

We maintain a "Disclosure Code Booth" to disseminate the room numbers. We assign disclosure codes and disseminate the information electronically. This process makes it much easier for the employer to receive the disclosure code, input hotel information and then for the job candidate to find the interview locations they have scheduled.

To use this service READ THROUGH ALL THE INSTRUCTIONS CAREFULLY!!

In order for an employer to use this service you must:

1) Click on "DISCLOSURE CODE ENROLLMENT" link below and fill out a short application. Your disclosure code will be assigned electronically (you must have a different disclosure code for each interview room). An email will be sent with the username and password to the primary contact and the onsite contact so that they can make any necessary changes or updates (ie. hotel/room #).

2) As you confirm interview times with the job candidates inform them of this service and be sure they have your disclosure code.

3) Once the employer/interviewer is onsite and checks into the hotel, he/she needs to click on the "UPDATE/EDIT EMPLOYER INFORMATION" link below to add hotel and room number. You must have the username and password in order to get in and make the updates. If you do not add the hotel and room number, your job candidates WILL NOT be able to find you. If you do not have internet access, you may still bring the information to us at the "Disclosure Code Booths" in either

Philadelphia Marriott Downtown, Franklin Hall A
or
Philadelphia Convention Center, Ballroom AB

and we will enter it into the system so your interviewers can obtain it electronically.

4) You need to inform the job candidates that when they arrive at the meetings they can go to this website, click on "JOB CANDIDATE INFORMATION" link below, and look at their code to find the hotel and room number. They do not have to go to the hotels where the "Disclosure Code Booths" are located unless they do not have internet access. The job candidate can obtain the hotel and room number only after your interviewer has entered it, so please enter the information as soon as it is known.

The "Disclosure Code Booths" will be located in both the

Philadelphia Marriott Downtown, Franklin Hall A
or
Philadelphia Convention Center, Ballroom AB

Please have the onsite contact person enter the hotel and room number as soon as possible after they check into the hotel.

The Disclosure Code Booths will operate from 7:30 AM until 8:00 PM on January 4th, and from 8:00 AM until 5:00 PM on January 5th and 6th. There will be someone at the booth to answer questions and look up information for those without a computer or internet access.

If you have any questions regarding this process, please call (615) 322-3733 or email Julia Merry at Julia.b.merry@vanderbilt.edu.
